Managing Catalogs with Multiple

The first field, "Select Ranch" would be ignored until you add a member to your
catalog. Once a member or members are added, a drop-down list will appear
there, allowing you, as manager, to create catalog pages for your
members, or manage ads after they have submitted them through
their user login. They must first set up a regular user account in order to be added
ad a member of your catalog.
Adding
a Member:
Once you have completed the catalog registration form and we have
activated your catalog, then you can login to your catalog
manager account by using the "Add Member"
link.
Once a member or members are
added to your catalog, a drop-down list is available in your manager
list of sale horses currently posted by clicking the "update/activate"
link on your tool. This lets you activate,
deactivate, edit and even delete horses once they exist in your
catalog. Your members have the ability to edit ads, but
they cannot activate, deactivate or delete a horse once it has
been submitted. This gives you the administrative control that you
need to be sure all the paper work is complete on each
consignment, etc., before it is visible online. It
also prevents a user from accidentally deleting a catalog entry.
If you, as
a manager, are also a consignor to the catalog, then you
must create a regular user account for yourself or business,
then add that account as a member of your catalog, just as other
users would. You have one advantage however ... you can submit
your sale entries using the manager login, making the
"activation" process unnecessary for your entries.
(You can deactivate your own entries (from the manager account)
if it is too soon for them to appear online, however.)
Once
a user has been added as a member of your catalog, when they log in to
their regular user account, they will have more "tools" on
their personal toolbar. It will allow them to create both classified AND catalog pages.
For people who might be placing regular classifieds for some of their horses, and a catalog page for certain others, it is important to choose the correct
link for (classified or catalog.)
That is really the only "extra" thing to think about for a member of your catalog when they place ads, because their toolbar will allow them to do both.
Catalog ads will always automatically create a free companion
classified ad that appears at the www.BuyHorsesOnly.com site as
soon as the catalog entry is activated. If later
deactivated, the companion classified ad will also be
deactivated. It is controlled by the settings of the
catalog.
Note: An
important difference between "cataloged" horses and
"classified" horses is that
classified ads expire after 120
days, and cataloged horses do not expire until the catalog
does. In user account management screens, classified
horses show an expiration date. Cataloged horses do not. (The
free classified companion ads for cataloged horses do not expire until
the catalog does.)
As
the catalog manager, only you or the top level administrator (me) can "Activate" a catalog page.
This power is given so you can look at the entries before they go online, and for other administrative purposes, such as making sure the consignor's paperwork and fees are in order and paid. By the same token, you can also
"Deactivate" any entry as you desire.
You have the ability to delete catalog entries, but the consignor does not. This is a precaution against having a consignor accidentally delete a horse that is supposed to be in the catalog.
The only other unique item found on this form that is not part of a regular classified ad form, is the
"Lot Number."
These are not assigned by the computer, so you are free to number and re-number, replace scratched horses, etc. Note: Use numbers only. This is a
"Required Field" ... meaning that each cataloged horse
must be
assigned a number. You may skip numbers, but it is not a
good idea to use the same number more than once.
These numbers are
necessary to make the Arrow Navigation work correctly for your online
catalog visitors, so they can browse your catalog directly from
page to page by clicking the "Next" or "Previous" arrows.
Activating Catalog pages:
If you add a catalog horse while logged in as a catalog "member," you will see that the "member" does not have use of the tools to delete, activate or deactivate the ads. You need to then log in
to your catalog manager account and click the "Update/Activate" link. This will bring up a list of all horses entered
into your catalog so far, and you will quickly see those that are followed by the "Activate" button. Those will not
be visible to the public on the catalog Index until you click to activate it. Then the label on that button will toggle to a new label reading
"Deactivate."

A single user account should be the only one you need, now and in the
future. It is important NOT to set up additional user accounts, because that will cause an incomplete index of your horses to come up when people click the
"view our current listings" link that appears on every catalog or classified page, as well as on your ranch page.

Unless a user is a member of at least one catalog, their personal toolbar ONLY contains 5 links. The last two,
"Add Catalog Horse" and "Edit Catalog Horse" only appear
after a user has been added to a catalog.
We
have feature now to allow for camera-ready printed catalog master pages.

Because of this, you see 2 entry boxes for the horse "Description"
area in catalog horse submission forms.

Everything in the first
"Description box will appear in your printed
catalog. This box is
limited in the number of characters that will fit your chosen catalog style, and a counter is provided to help you know when you have reached that limit. (I will help you determine what that
approximate number will be.)
The
2nd "Description" field
is
unlimited in the amount of information it
will hold. NOTE: Some text must be present
in the first "Description" box before information from the 2nd box
will display online.

Everything in BOTH "Description" boxes will display in the online catalog
AND classified companion ads.

ONLY the text in the first "Description" box will display in the special printed catalog format.
Members DO have the ability to make changes in their catalog horse entries,
like editing information, changing a photo, etc. That is accomplished by logging in to their user account, clicking the
"Edit Catalog Horse" link, then selecting (clicking) the horse name from the list of horses placed under this user account.

removed, please send them to me directly by email, and provide the name of the horse or Ad ID number so I can do this for you and attach the image. There is no extra charge for this service, and it is actually easier for me if you send the photo directly. Once it has been placed online, our automatic photo handling program has optimized the image for web use, and this makes it more difficult for me to work with.
